Printing your PowerPoint speaker notes is a straightforward way to achieve both, and it's not as complicated as you might think.

Printing Notes with Slide Thumbnails

  2. Choose your preferred printer from the dropdown menu.

Printing Notes Without Slide Thumbnails

To achieve this, you'll need to do a little manual cleanup:

  1. First, switch your view to Notes Page view. You can usually find this under the View tab.
  2. Now, go through each of your notes pages one by one. You'll see the slide thumbnail. Simply click on it to select it, and then press the Delete key on your keyboard. Don't worry, this only removes the thumbnail from the notes page; it won't affect your actual presentation slides.
  3. Once you've tidied up all your notes pages, follow the same printing steps as above: File > Print, select your printer, and under Settings, choose Notes Pages from the 'Print Layout' options.

Again, remember that each page will contain a single slide's notes (or just the notes if you've deleted the thumbnail).

Exporting Notes to Word for More Flexibility

For those who need even more control over formatting or want to combine notes with other documents, exporting your speaker notes to Microsoft Word is a fantastic option. It opens up a world of editing and layout possibilities.

Here's the process:

  1. With your PowerPoint presentation open, go to File and select Export.
  2. In the export options, choose Create Handouts.
  3. A new panel will appear; click on Create Handouts again.
  4. A 'Send to Microsoft Word' dialog box will pop up. Here, you can choose how you want your notes to appear relative to the slides. Options like 'Notes next to slides' or 'Notes below slides' are available.
  5. At the bottom of this dialog, select a Paste option and click OK.

Your notes will then be transferred to a Word document, ready for you to edit, format, and print exactly as you wish. It’s a great way to create professional-looking handouts or study guides.
