Clearing the Decks: How to Gracefully Remove an Email Account From Outlook

Sometimes, life with email accounts gets a bit crowded. Maybe you've moved on from a job, a client relationship has ended, or you're simply tidying up your digital life. Whatever the reason, knowing how to remove an email account from Outlook is a handy skill. It’s not about deactivating your email itself, mind you, but rather about unlinking it from your Outlook application so you can send and receive mail from that address within Outlook no longer.

Let's walk through how to do this, keeping in mind that the exact steps can vary slightly depending on which version of Outlook you're using.

For the Latest Outlook Versions (Microsoft 365, New Outlook for Windows)

If you're on the more recent versions of Outlook, the process is quite straightforward. You'll want to head over to the 'File' menu. Once there, look for 'Account Settings' and then select 'Account Settings' again. You'll see a list of all the accounts connected to your Outlook. Simply choose the one you wish to remove and click the 'Remove' button. Outlook will likely ask for a confirmation, so just hit 'Yes' to finalize it.

For Classic Outlook for Windows (Outlook 2019, 2016)

For those still using the classic version of Outlook on Windows, the path is very similar. Again, start by clicking on 'File' in the top-left corner. Then, navigate to 'Account Settings' and select 'Account Settings' from the dropdown. You'll see your list of accounts. Select the one you want to remove and click 'Remove'.

Now, you might see a message warning you that any offline cached content for that account will be deleted. Don't worry, this only affects data that has been downloaded and stored on your computer. It doesn't touch your actual email on the server. Confirm by selecting 'Yes'.

On Your Mac?

Outlook for Mac users have their own way of managing accounts. Open Outlook, then go to the 'Tools' menu and select 'Accounts'. In the list that appears, pick the account you want to say goodbye to. You'll then see a 'Manage' option; click on that and choose 'Remove Account'. A final 'Continue' will confirm the action.

Mobile Devices (Android & iOS)

If you're managing your email on the go with Outlook for Android or iOS, it's just as simple. Open the Outlook app, go to 'Settings', then 'Accounts'. Tap on the email account you want to remove, and then select 'Remove Account'.

A Quick Note on Profiles

It's worth mentioning that removing an account from Outlook doesn't delete your actual email address or deactivate it with your provider. If you need to do that, you'll have to contact your email service provider directly. Also, if you're looking to delete an entire Outlook profile (which is a more comprehensive step than just removing an account), there are separate instructions for that.

Sometimes, especially with corporate accounts or delegates, you might encounter situations where an account persists even after its license is removed. In such administrative scenarios, the solution might involve unassigning licenses in the admin center or, in rarer cases, rebuilding your Outlook profile might be the cleanest way forward.
